CCLHDN Board Openings

President-Elect

  1. Key Duties:

  • Assume functions of the President if the President is absent.

  • Carry out other duties as determined by the Board or the President.

  • Succeed to the office of President if it is vacated.

    2. Desired skills:

  • Proficient verbal and written communication.

  • Networking with members of CCLHO and other affiliates.

  • Public speaking.

  • Meeting management skills.

    3. Time commitment:

  • Monthly board call: meeting, minutes and document review ~ 2.25 hours/month.

  • Board planning meetings: prep, meeting, follow-up ~ 12 hours/year.

  • Annual meeting ~ 3 days/year.

  • Attendance at CCLHO and affiliate meetings (phone or in person) ~ 6 hours/year.


President

  1. Key Duties

    • Serve as the official representative of the CCLHDN to the CCLHO.

    • Call and preside at meetings of the CCLHDN and its Board of Directors.   

    • With the exception of the By-laws Committee Chairperson, appoint committee chairpersons and CCLHO representatives.

    • Serve as ex-officio member of all committees, except the Nominating Committee.

    • Appoint the Nominating Committee for the following year at the annual business meeting.

    • Carry out other duties as assigned by the Board of Directors.

    • Contract-related duties:

      • Contracts: review and sign all contracts; track contract work and ensure contract deliverables are met.

      • Staff relations: When CCLHDN is supported by staff, develop or assign development of contracts/duty statements; meet routinely with staff (by phone or as appropriate), assure timely completion of staff assignments. (Note: no staff currently with CCLHDN).

  2. Desired skills:

    • Proficient verbal and written communication.

    • Confidence in networking with members of CCLHO and other affiliates.

    • Confidence in public speaking.

    • Meeting management skills.

  3. Time commitment:

    • Monthly board call: prep, meeting, minutes & document review ~ 2.75 hours/month.

    • Contract/scope of work development, review, signatures, etc.: varies per contract – 10-20 hours/year.

    • Board planning meetings: prep, meeting, follow-up ~ 12 hours/year.

    • Representation on statewide advisory groups and committees ~ 1-2 hours/month.

    • Annual meeting ~ 3 days/year.

    • Staff supervision & contact (primarily phone and email): varies depending on staff and contract deliverables - ~ 1.5 hours/month.

    • Attendance at CCLHO and affiliate meetings (phone or in person) ~ 12 hours/year.


Treasurer

  1. Key duties:

  • Substitutes for the President in the absence of the President and the President-Elect.

  • Leads development of the annual budget and any contracts in consultation withthe Board.

  • Monitors budgets and contracts.

  • Reviews and signs all invoices.

  • Deposits all checks (e.g. membership due, conference fees).

  • Disburses all payments (e.g. to contractors, travel reimbursements for Board Members, conference-related expenses.

  • Prepares and presents the annual financial report at the annual membership meeting.

  • Serves as liaison between Board, book-keeper, and accountant.

  • Ensures all tax related matters (1099, tax return) are completed and filed.

  • Carries out other duties as assigned by the Board of Directors.

2. Desired skills:

  • Skills in budgeting and fiscal management.

  • Ability to communicate financial information.

  • Detail oriented.

3. Time commitment:

  • Monthly board call: meeting, minutes and document review – approximately 3 hours/month.

  • Annual contract review and follow up – approximately 3 hours.

  • Board planning meeting(s): prep, meeting, follow-up – approximately 12 hours/year (1.5 days plus travel time).

  • Annual meeting/conference–approximately 3 days/year plus travel time.

  • Accounts review and check writing–approximately 3 - 6 hours/month.


Secretary

  1. Key Duties:

  • Record all votes and the minutes of the Board of Directors and distribute the minutes to the membership within one month after the meeting.

  • Compile the reports of the committees and distribute them to the Board of Directors and to the members with the minutes of the business meeting.

  • Coordinate membership communications with the President, including any special elections.

  • Maintain rosters of CCLHDN members and Board of Directors.

  • Carry out other duties as assigned by the Board of Directors.

    2. Desired skills:

  • Proficient verbal and written communication.

  • Detail oriented.

  • Ability to meet short turn-around times.

    3. Time commitment:

  • Monthly board call: meeting, minutes and document review ~ 2.25 hours/month.

  • Board planning meetings: prep, meeting, follow-up ~ 12 hours/year.

  • Annual meeting ~ 3 days/year.

  • Distribution of email messages < 1 hour/month.
